To scale their services, they invested in a custom digital platform to simplify intake, scheduling, documentation and patient communication — all while remaining HIPAA compliant.

The Project

Gramercy's mission is to increase access to culturally competent and affordable mental healthcare across underserved communities, offering bilingual (English/Spanish) individual, couples and family counseling, both in-person and via telehealth.

The Challenge

A large software vendor had built the first version of the platform, but the scope didn't fully cover HIPAA compliance, last-mile user experience improvements, or the flexibility to adapt post-launch. The vendor only operated under large, long-term engagements — it wasn't a budget issue, it was a flexibility and support issue. That's when their fractional CTO brought CodingIT in to finish the job.

The Solution

CodingIT's team partnered directly with the fractional CTO and Gramercy's leadership to execute a rapid 60-day push toward launch.

Engagement Structure

200 monthly hours with flexible resource allocation: 65% engineering, 15% project management, 10% UX/UI for HIPAA and usability, and 10% functional analysis.

Workflow

Daily collaboration with the fractional CTO to prioritize tickets and define the backlog, weekly or biweekly client reviews, and agile cycles focused on small deliverables with big impact: security, accessibility, optimization and user-centric refinements.

Platform Features

A patient portal with secure login, real-time appointment booking and digital intake and consent forms; a provider dashboard for schedules, notes and follow-up alerts; and an admin panel for clinic-wide scheduling, reporting and role-based access.
